Job description
We are looking for Nursery Administrator to join our growing company. This role will involve supporting the company across our six sites, but will not require travel to all sites.
The ideal candidate will have experience in a similar role, with exceptional administration, financial administration, and customer service skills. You will be a quick and efficient worker, and be fully conversant with MS Office packages and programmes (good Excel skills are a must), and have previously worked with various software packages. Experience with Famly and Quickbooks software would be an advantage.
Roles and Responsibilities
Finance management
- Fee collection and credit control.
- Bookkeeping using online software.
- Checking and issuing of invoices and statements using our nursery management software.
- Respond promptly to customer queries related to fees and invoices.
- Create and manage budgets for all sites.
- Purchase resources via preferred suppliers and in line with budgets.
Occupancy management
- Work alongside nursery managers to ensure occupancy is maintained as near to 100% as possible.
- Offer spaces to families, including sending offer letters.
- Regularly update families on the waiting list with their position and likelihood of a space becoming available.
HR and payroll support
- Payroll support
- Annual leave support
- Recruitment, onboarding, and leavers support
- Maintain personnel records
Government funding management
- Manage the processes related to claiming early years government funding.
- Audit funding claims.
- Respond promptly to customer queries related to government funding.
Enquiry management, onboarding, and leavers
- Respond promptly to new customer enquiries.
- Track and analyse enquiries using our nursery management software.
- Support customers through the onboarding process.
- Process child leavers.
General administration
- Manage incoming phone calls, where necessary.
- Enter data to our nursery management software
- Management reporting.
- Support management to keep policies and procedures updated.
- Support management with parent communication.
- Work as part of a close team and communicate effectively to ensure smooth running of the day and that important messages areshared appropriately
